Data Security Policy
Effective 1 June 2026 · Version 1.0
GreenLens Analytics is a financial dashboard for small and medium businesses. We understand that the information you upload is sensitive, and protecting it is central to how the platform is built. This policy explains, in plain language, how we keep your data safe, where it is stored, and who can access it.
1. The Information We Hold
When you use GreenLens, we hold three kinds of information:
- Account information — your name, email address, and the security settings on your login.
- Business profile — basic details about your business, such as its name, ABN, and industry.
- Financial data — the figures you choose to upload, such as revenue, expenses, and cashflow, used to generate your charts and analysis.
We only hold the information needed to provide the service. We do not collect or store payment card details. Payments are handled separately by Stripe, a certified global payments provider.
2. Where Your Data Is Stored
Your account and financial data are stored in a secure database hosted in Sydney, Australia. Keeping your primary data onshore means it is held under Australian data protection standards.
To generate written insights from your figures, relevant data may be processed by a trusted artificial intelligence provider whose processing may occur outside Australia. Only the data needed for that analysis is shared, and it is not used to train external AI models.
3. How Your Data Is Protected
Your data is isolated from every other customer
The platform enforces strict separation at the database level so that you can only ever see your own data. This protection is applied automatically on every request and cannot be bypassed by other users.
Strong login security is required
Every account must be protected with two-factor authentication. This means that even if a password were ever compromised, a second verification step is still required to sign in.
Encryption in transit and at rest
All information moving between your device and GreenLens is encrypted using industry-standard secure connections. Data stored in our database is encrypted while at rest.
Regular backups
Your data is backed up on a regular schedule to a separate secure location, so that it can be recovered in the event of a technical failure.
Monitoring and access control
Administrative access to the platform is limited and logged. Security settings are reviewed regularly, and the platform is monitored for errors and unusual activity.
In short: your data is stored securely in Australia, kept separate from every other customer, encrypted, backed up, and protected behind mandatory two-factor login.
4. The Providers That Support GreenLens
Like most modern online services, GreenLens relies on a small number of established technology providers to operate. Each plays a specific role, and each is bound by its own security and privacy obligations.
| Role | What it supports |
|---|---|
| Secure database and login | Stores your account and financial data and manages secure sign-in. Primary data held in Sydney, Australia. |
| Application hosting | Delivers the GreenLens website and dashboard to your browser securely. |
| AI analysis | Generates written insights from your figures. Processes only the data needed and does not retain it to train models. |
| Network and security layer | Protects the website and manages secure, encrypted connections. |
| Email delivery | Sends account and security notifications, such as sign-in and activation emails. |
| Payments | Processes subscription payments securely. GreenLens never sees or stores your card details. |
5. How Long We Keep Your Data
We keep your data for as long as your account is active. If you close your account, your data can be removed on request. Backups are held for a limited period before being cycled out.
6. Your Responsibilities
Security is a shared effort. To help keep your account safe, we ask that you:
- Keep your password private and use a strong, unique password.
- Keep your two-factor authentication device secure.
- Let us know promptly if you believe your account has been accessed without your permission.
7. Questions or Concerns
If you have any questions about how your data is handled, or wish to request access to or deletion of your data, please contact us at contact@greenlensanalytics.com.
This policy may be updated from time to time as the platform evolves. The effective date at the top of this document indicates when it was last revised.
